Payment Terminal Rental vs. Lease in Canada: What to Check First
A Canadian merchant checklist for terminal rentals, leases, financed hardware and outright purchases—before you sign a long equipment agreement.
Rental, lease, financing and ownership are different. Compare total payments, term, cancellation, return obligations, warranty and whether the equipment still works if you change processors.
Four arrangements that sound similar
A rental usually provides use of equipment for a recurring fee. A lease can create a fixed long-term obligation. Financing spreads a purchase over time. An outright purchase transfers ownership, but does not guarantee the terminal is portable to another processor.
- Who owns the device at the end?
- Is there an automatic renewal?
- Can the processing agreement end while equipment payments continue?
Calculate the true equipment cost
Multiply the monthly equipment amount by the complete term, add setup, shipping, accessories and taxes, then compare that total with purchase and rental alternatives. Include the value of warranty or replacement coverage only if the contract actually provides it.
Read two agreements, not one
Equipment and processing may be supplied under separate contracts or by different legal entities. A merchant should not assume cancelling one automatically cancels the other. Canada’s payment-card Code provides merchant protections around payment-service agreements; review how those protections apply to the exact arrangement.
- Write down every counterparty named in the documents.
- Ask each provider for cancellation instructions.
- Keep the signed agreement and disclosure box.
When flexibility is worth more
A growing merchant may reasonably pay more for easy upgrades, replacement coverage or a shorter commitment. The best choice is the one whose total cost and operational risk are both understood.

Frequently asked questions
Should I lease a debit machine?+
Only after comparing the full-term cost and exit obligations with rental or purchase options. Long leases can outlast the processing relationship.
If I switch processors, can I keep the terminal?+
Not always. Ownership and technical portability are separate questions; confirm both in writing.
