Recurring and Invoice Payments in Canada: Fees and Setup Questions

Compare hosted invoices, subscriptions and card-on-file payment workflows, including billing software costs, failed payments and customer records.

THE SHORT ANSWER

An invoice asks a customer to pay a bill; a subscription schedules repeat billing under the agreed terms. Compare the payment method, billing software, customer authorization, failed-payment handling and total fees. A recurring-billing product can add costs beyond the processor's basic payment rate.

01

Choose the billing workflow first

Write down whether the business needs a one-time invoice, installments or a repeat subscription. Define the amount, schedule and customer communication. The operational need should determine which payment and billing tools are required.

Stripe's subscription documentation describes billing as a lifecycle that includes invoices and payment status. Treat that lifecycle as part of the business process rather than assuming every scheduled charge will succeed.

02

Model payment and billing charges separately

A provider can price payment acceptance separately from invoicing, subscription management or additional platform products. Include those services, currencies and transaction types in the monthly model. A card-on-file rate may differ from an in-person rate.

  • Expected invoices and collection volume
  • Payment method and transaction pricing
  • Billing software or platform charges
  • Currency conversion if applicable
  • Refunds and dispute conditions
03

Use supported collection and clear customer records

Use the provider's hosted or supported secure flow to collect and store payment credentials. Do not build a spreadsheet of complete customer card details or ask for them through ordinary email.

Keep the agreed billing terms, invoice, receipt and customer support route easy to find. Configure permissions so staff can help a customer without unnecessary access to payment data.

04

Test the cases after the first successful payment

Rehearse a failed payment, changed payment method, canceled subscription, partial refund and a reconciliation period. Confirm which system owns each status and how the customer is notified.

When comparing a new processor, include migration and existing billing records. A billing setup is useful only when repeat collection, customer service and reporting remain coherent.

Put the comparison into practice

Compare Canadian payment processors, then calculate your effective processing rate using one complete statement period.
