How to Switch Payment Processors in Canada Without Disrupting Sales
A practical Canadian checklist for contract review, data and device portability, timing, testing and cancelling the old processor safely.
A safe switch overlaps planning, not necessarily billing. Confirm contract and equipment obligations, obtain the new approval, test every payment flow and settlement, then cancel the old services in writing.
Read the current agreement first
Locate the signed processing agreement, fee schedule, amendments and equipment documents. Identify term, renewal, cancellation notice, terminal return and any services supplied by separate entities. FCAC’s merchant-rights guidance explains protections under Canada’s payment-card Code.
- Request a current agreement copy if missing.
- List every recurring debit on the bank account.
- Ask how stored tokens or recurring billing can migrate.
Get approved before changing checkout
A quote is not an active merchant account. Complete underwriting, confirm the settlement bank account and receive configured equipment before setting a cutover date.
Test the whole money path
Run a low-value sale, void, refund and settlement. Verify receipt details, tax, tips, online checkout, accounting integrations and next-day deposit expectations. Train staff before the busy period.
- Keep the old terminal available until the new path is stable.
- Do not process the same sale twice.
- Document the first settlement reconciliation.
Cancel and close the loop
Follow the contract’s notice method, return equipment with tracking, cancel add-on gateways and confirm final fees. Monitor statements and bank debits for at least two cycles. Keep all correspondence.
Put the comparison into practice
Compare Canadian payment processors, then calculate your effective processing rate using one complete statement period.
Frequently asked questions
Can I cancel if processing fees increase?+
Canada’s Code provides certain merchant rights when fee changes occur, but conditions and notice periods matter. Review FCAC guidance and the agreement.
Will my existing terminal work with a new processor?+
Maybe not. Ownership does not guarantee technical portability or reprovisioning eligibility.
