Refund vs Void for Card Payments: A Canadian Merchant Guide
Understand cancellation before completion versus refunding a completed card payment, plus status, receipts and reconciliation checks.
A cancellation or void generally concerns a payment that can still be stopped before completion; a refund returns all or part of a completed payment. The available action depends on the payment method, transaction status and provider, so inspect the original payment before acting.
The payment status determines the action
Stripe distinguishes canceling a payment before completion from refunding after it succeeds. Terminal providers can use different labels and cutoffs. Use the action supported by the actual payment record rather than assuming a generic void button applies.
Keep the sale amount, status and reference together. A customer seeing a pending entry does not by itself tell staff whether the merchant should cancel, refund or investigate further.
A refund request and a completed refund differ
Confirm whether the provider accepted the request and whether the refund is pending, completed or failed. Stripe describes situations where available balance can affect a card refund's status. Other methods and providers have different rules.
Give the customer a receipt or reference and use the provider's current timing guidance. Avoid promising a precise bank posting time that the merchant cannot control.
Check costs and reconciliation
Read how the provider treats original processing charges, refund charges and settlement adjustments. Do not assume a refund reverses every business cost or appears in the same deposit period as the sale.
- Original payment and refund references
- Full or partial refund amount
- Remaining refundable balance
- Refund status and receipt
- Statement and deposit adjustments
Avoid creating a second problem
Use the original payment's supported refund process. Do not send a separate payment simply because the customer reports a delay; investigate status first. Restrict refund permissions and reconcile activity so duplicate or mistaken actions can be detected.
When selecting a POS, rehearse a sale, cancellation and partial refund. Check whether order records and inventory stay consistent with the payment record.
Put the comparison into practice
Compare Canadian payment processors, then calculate your effective processing rate using one complete statement period.
