Card Payment Deposit Delays in Canada: What Merchants Should Check

Trace a missing merchant deposit through payment status, settlement reports, cutoffs, banking days and the processor's support process.

THE SHORT ANSWER

Separate a successful customer payment from the transfer to your bank. Check the payment and transfer status, applicable cutoff, banking days, destination account and any review notice. Follow the provider's account-specific support process rather than charging the customer again to solve a deposit issue.

01

Confirm which step is missing

Find the original sale in the payment provider's records. Confirm its final status before treating it as collected revenue. Then find the settlement or transfer containing that payment. A successful sale and a completed bank deposit are separate records.

Check whether fees, refunds or other adjustments explain a difference in the amount. A deposit may aggregate several payments and subtract adjustments rather than mirror a single receipt.

02

Check cutoff and business-day assumptions

Square's Canadian missing-transfer guide describes schedule cutoffs and banking-day effects. Other providers have their own schedules and account conditions. Use the schedule in your account and agreement rather than applying another processor's timing.

Write down the sale timestamp, applicable timezone and expected transfer date. A payment after a cutoff can belong to the next settlement period.

03

Collect the evidence safely

Use the secure dashboard to verify the destination account and notices. Record references without copying complete customer card data into a support email.

  • Merchant account and settlement reference
  • Payment date, status and amount
  • Transfer status and expected arrival
  • Masked destination account
  • Relevant review or verification notice
04

Escalate the transfer, not the customer sale

Ask the processor to trace the specific transfer and explain its status. If the processor confirms it sent funds, ask which reference your bank needs to investigate. Keep the timeline and response in the same record.

Do not re-charge a customer simply because a merchant deposit is delayed. When comparing providers later, ask about reporting, funding conditions and escalation alongside processing price.

Put the comparison into practice

Compare Canadian payment processors, then calculate your effective processing rate using one complete statement period.

FAQ

Frequently asked questions

Does an approved card sale mean the deposit is already in my bank?+

No. Payment status and bank-transfer status are separate. Check the provider's settlement record and the schedule for your account.

Should I charge again if the merchant deposit is missing?+

No. First trace the successful payment and its transfer with the processor. Another charge can create a duplicate customer payment.
